As a Project and Services Assistant, you will help ensure that recurring administrative activities, records, and system data remain accurate, complete, and up to date. Project Management Office Support
- Organize the PMO and Projects & Services Director’s regular and sporadic meetings, including agendas, invitations, and scheduling.
- Assist in managing the Microsoft Dynamics 365 project management system.
- Establish standard user access and keep correct access lists in compliance with authorized protocols.
- Offer first-line support for common system inquiries, especially those pertaining to time-entry procedures.
- Refer non-standard or technical problems to the relevant system owner or expert.
- Verify the consistency and completeness of time entries at the organization level every month.
- When information is lacking, create reminders and follow up with users and accountable management.
- Assist in allocating project IDs to research and clinical studies and informing project teams of these IDs.
- Keep up-to-date project data, including ownership, bundles, and status.
- Encourage the enhancement of standard PMO administrative procedures, guidelines, and templates.
- Use pre-made checklists to help with quality inspections of study documentation and Trial Master File (TMF) records.
- Keep a record of your results and notify the appropriate team members of any missing or inconsistent data.
- Review open quality events owned by project managers on a quarterly basis and follow up to ensure prompt resolution.
Services Team Support
- Respond to standard requests from commercial users regarding EORTC Quality of Life questionnaires, materials, and related services.
- Provide approved information about access conditions, licensing requirements, and terms of use for copyrighted EORTC materials.
- Escalate contractual, scientific, or non-standard questions when required.
- Support the delivery of questionnaires, certificates, and other standard documents after requirements and approvals have been confirmed.
- Liaise with Quality of Life, Finance, Contracts, and other internal teams to obtain information needed to resolve requests.
- Prepare invoice information and submit invoices through external client portals under appropriate supervision.
- Maintain accurate service and invoicing records and follow up on missing information.
- Assist with periodic reviews of licensing records by comparing reported questionnaire use with existing agreements.
- Document potential discrepancies and refer them to the responsible team member.
- Maintain shared mailboxes, trackers, and filing systems according to EORTC procedures.
